Responsibilities include:

The chosen candidate is responsible for the following:

  • Communication of F&E Site Goals.
  • Administration, planning and co-ordination of F&E Core Business Processes.
  • Cascade of status and internal communication associated with F&E Core Business Processes.
  • Collating F&E metrics to support Site Governance (e.g., Plant Review, Site Ops, Supply Review).
  • Co-ordinate action deployment and closure for actions arising from core process and metric review cycles. Using in-house software to develop automated reports for metrics, and action tracking.
  • Liaising with Digital Technology & Innovation (DTI) to identify automated solutions that ease administrative burden.
  • Supporting F&E Productivity Lead through co-ordination of ideation sessions, periodic review, validating savings with Finance and reporting periodically on results.
  • Maintaining F&E structural processes such as SharePoint document repository sites, Distribution Lists, Org Charts.
  • Planning and Co-ordination of F&E reward and recognition, leaders travel and events (e.g., Annual Strategy Review and Quarterly F&E All Staffs).
  • Support F&E cost centre owners in administration of Headcount, Purchase Orders, and Invoices.
  • Support F&E functional leaders in administration of training and completion metrics.
  • Calendar management & travel arrangements for Executive Director.

Qualifications:

  • Third Level Qualification – preferably to Degree Level in a relevant discipline (e.g. Business Administration)
  • At least 5 years’ experience in a similar role

Experience/Skills:

  • Competent in MS office tools (Word, Outlook, PowerPoint & Excel)
  • Demonstrated ability in the use of IT systems and packages, including Concur, SAP & Ariba
  • Very experienced in organising meetings & events, managing multiple stakeholders and priorities at any one time
  • Experience of External stakeholder engagement
  • Capable of working on own initiative and being proactive when taking on duties and tasks
  • Be capable of working on their own and as part of a team, while exercising a high level of judgement, confidentiality and discretion at all times.
