What you’ll do:
- Assist the CEO with daily administrative duties and complete a broad variety of administrative tasks that include managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
- Plan, coordinate and ensure the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.
- Provide a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Work closely and effectively with the CEO to keep him informed of upcoming commitments and responsibilities, following up appropriately. You will act as a “barometer,” having a sense for the issues taking place in the environment and keeping the CEO updated.
- Tactfully, thoughtfully, and joyfully coordinate and execute on all details of administrative projects and tasks.
- Provide assistance as needed to office operations including but not limited to: order supplies (coffee, water, snacks, etc), accept packages and greet guests.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
- Establish and maintain strong relationships with external partners and vendors.
- Represent the CEO and Contentsquare’s brand by projecting a professional image.
- Continue to invest in learning and living Contentsquare’s mission, culture, values.
- Handle personal matters including Bookkeeping (managing expenses, and bill-paying), running errands, and managing personal contractors.
What you’ll need to succeed:
- A Bachelor’s degree or equivalent experience in roles with progressively more responsibility in supporting at least one C-level executive
- Proficiency in G Suite, Windows, including Word, Excel and Powerpoint and Social Media platforms (Linkedin, Twitter, Facebook). You are plugged-in and digitally savvy
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Expert ability to communicate clearly with all levels of the organization from interns to execs
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, tact, and diplomacy, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Demonstrated ability to achieve high-performance goals, making decisions, and meeting deadlines in a fast-paced environment, sometimes under pressure
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners
- Flexibility and commitment to excellence, as well as emotional maturity. You are an ambassador who creates a superior experience in-person and virtually for everyone whose paths cross with the CEO

What makes you stand out:
- The ability to occasionally travel internationally
- Fluency in French is a plus
